Privacy Policy

This Privacy Policy explains how AvaSeminar collects, uses, stores, and shares personal information when you use our websites, applications, AI-powered seminar tools, and related services (collectively, the “Service”).

It applies to account holders, workspace users, website visitors, seminar viewers, registrants, and people who submit questions, form responses, or voice input through an AvaSeminar experience.

1. Our role

For account administration, billing, website operation, security, support, and our own service analytics, AvaSeminar determines why and how personal information is processed.

For personal information submitted by viewers through a customer’s seminar, the customer or event organizer generally determines the purpose of collection, and AvaSeminar processes the information to provide the Service on that customer’s behalf. Viewers may therefore need to contact the relevant organizer as well as AvaSeminar to exercise certain rights.

2. Information we collect

Depending on how you use the Service, we may collect:

Account and workspace information

  • name, email address, password authentication records, verification status, and account preferences;
  • Google authentication identifiers when you choose Google sign-in;
  • workspace name, plan, account role, subscription status, and support communications.

We do not receive your Google password.

Customer Content and generated media

  • presentations, PDFs, documents, recordings, scripts, slide images, notes, and instructions;
  • photographs, videos, voice samples, avatar materials, and related permissions or settings;
  • generated scripts, narration, audio, avatar video, summaries, questions, answers, transcripts, and other generated content.

Viewer and interaction information

  • viewer or registrant name, email address, registration details, questionnaire responses, and external-form selections;
  • text questions, AI responses, session activity, timestamps, usage duration, and interaction history;
  • microphone or voice input when a viewer starts a live voice or avatar feature.

The organizer determines which optional information to request from its audience. When an external form is used, the external provider may collect information under its own privacy policy.

Billing information

  • selected plan, billing market and currency, checkout status, subscription status, transaction references, invoice-related information, and payment history.

Payment-card or bank-account details are generally collected directly by our payment providers, such as Stripe or NewebPay. AvaSeminar does not need to receive full payment-card details to confirm payment and manage access.

Device, usage, and website information

  • page views, feature use, button interactions, referral source, limited campaign parameters, session identifiers, and approximate activity times;
  • browser, device, network, diagnostic, security, and server-log information reasonably necessary to operate and protect the Service;
  • cookies and similar technologies used for authentication, preferences, security, attribution, and service analytics.

3. How we use information

We use personal information to:

  • create and secure accounts and workspaces;
  • verify email addresses and complete authentication;
  • import, process, generate, publish, and deliver seminar content;
  • provide AI-generated scripts, narration, avatars, questions and answers, and live interactions;
  • register viewers and provide organizer-requested forms or experiences;
  • calculate usage, credits, plan limits, and service eligibility;
  • process payments and manage subscriptions;
  • provide support and send service-related communications;
  • maintain security, prevent abuse, investigate incidents, and enforce our Terms;
  • analyze and improve the reliability, usability, and performance of the Service;
  • comply with legal obligations and resolve disputes.

Where applicable law requires a legal basis, we process information as necessary to perform our contract, comply with law, pursue legitimate interests such as security and service improvement, or act with consent where required.

4. AI, voice, and avatar processing

Customer Content and interaction data may be transmitted to specialized service providers that perform AI generation, language-model processing, speech recognition, voice generation, avatar rendering, media conversion, hosting, or storage.

These providers process information to deliver the requested feature under their applicable terms and our arrangements with them. AvaSeminar does not use Customer Content to train an AvaSeminar-owned general-purpose AI model unless we first obtain express permission.

When you activate a microphone-based feature, audio is transmitted for real-time speech and avatar processing. The interface or organizer should provide additional notice if a feature records and retains audio or video. Transcripts, questions, answers, session duration, and related usage information may be retained as part of the seminar experience and its analytics.

AI outputs may contain errors. Please do not submit sensitive information through an AI interaction unless it is necessary and authorized.

5. How we share information

We may share information with:

  • the customer or organizer responsible for the seminar you access;
  • service providers supporting authentication, email, payments, AI, speech, avatars, hosting, storage, security, analytics, and customer support;
  • professional advisers, auditors, insurers, or authorities where reasonably necessary and lawful;
  • a successor in connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business, subject to appropriate safeguards.

We may disclose information when required by law, to protect rights and safety, to investigate fraud or abuse, or to enforce our agreements.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

6. Cookies and analytics

We use cookies and similar technologies for essential authentication, session continuity, security, language preferences, attribution, and limited service analytics. Blocking essential cookies may prevent account or seminar features from working.

We do not use the Service’s customer or audience content to build advertising profiles. If we introduce materially different advertising or tracking practices, we will update this Policy and provide any required choices before doing so.

7. Data retention

We retain information for as long as reasonably necessary to provide the Service, maintain an active account or published seminar, comply with law, complete payments, resolve disputes, prevent fraud or abuse, and protect security.

Retention depends on the type of information and the customer’s actions. Customer Content may remain while a workspace or project is active. Deleted information may remain temporarily in restricted backups or logs until normal deletion cycles complete. Certain billing, transaction, consent, security, and legal records may be retained for longer where required or reasonably necessary.

We will delete or de-identify information when it is no longer needed for the purposes described in this Policy, subject to legal and operational exceptions.

8. International processing

AvaSeminar and its service providers may process information in Taiwan, the United States, and other countries where they operate. Those countries may have different data protection laws. Where required, we use contractual, technical, or organizational safeguards for international transfers.

9. Security

We use reasonable technical and organizational measures designed to protect personal information. However, no internet transmission or storage system is completely secure. You are responsible for protecting your credentials and using appropriate access settings when publishing or sharing seminar links.

10. Your rights and choices

Depending on where you live and the context of processing, you may have rights to:

  • request access to personal information;
  • request correction of inaccurate information;
  • request deletion or restriction;
  • object to certain processing;
  • withdraw consent where processing is based on consent;
  • request a portable copy where applicable;
  • opt out of certain sale, sharing, or targeted-advertising practices; and
  • complain to an appropriate data protection authority.

To make a request, contact support@avaseminar.com. We may need to verify your identity before completing a request.

If your information was collected through a seminar operated by one of our customers, please identify that seminar or contact the organizer. We may refer the request to the organizer where it controls the information.

You may unsubscribe from optional marketing messages using the link in the message. We may still send account, security, payment, and other service-related communications.

11. Children

The Service is designed for business and professional use and is not directed to children under 13. A person must be at least 18, or the age of legal majority where they live, to create an account or purchase a plan.

Customers and organizers must not intentionally collect children’s personal information through the Service without all notices, permissions, and parental or institutional authorizations required by law. If you believe a child’s information was collected improperly, contact us.

12. Third-party links and embeds

The Service may include links to or embeds from third-party websites, forms, media, or services. Their privacy practices are governed by their own policies. AvaSeminar is not responsible for the privacy practices of independent third parties.

13. Changes to this Policy

We may update this Privacy Policy as the Service changes. We will post the updated version and revise the effective date. If a change materially affects how we use personal information, we will provide additional notice where reasonably appropriate.
